How the calculation works
The calculator uses four numbers you know or can estimate: how many enquiries reach you per month across phone, email, forms and messages; what share of them go unanswered or receive a slow reply; what share of answered enquiries normally become clients; and the average value of a client to your firm, either per matter or over the relationship.
Multiplying lost enquiries by your close rate and client value gives the revenue at risk per month and per year. It is a simple model on purpose, so you can see exactly where the figure comes from and adjust each assumption.
- Enquiries per month that are missed or answered late.
- Clients lost per month at your usual close rate.
- Revenue at risk per month and per year.
Where missed enquiries come from
Few firms ignore enquiries on purpose. They slip through when calls come in during meetings or court appearances, messages arrive in the evening or at weekends, a contact form sends to a mailbox nobody checks, or a reply waits until someone has time to look at the file. Prospective clients with urgent problems often contact several firms at once and go with the first one that answers helpfully.
If you do not know your numbers, sample them: for two weeks, log every enquiry and when it was answered. Many firms are surprised by how many calls arrive while nobody can pick up.
Reducing the loss
The fixes are usually simple: an automatic acknowledgement that says when you will reply, online booking for first consultations, a callback form, a shared inbox with clear ownership, call forwarding or an answering service during busy hours, and a short qualification step so urgent matters are seen first.
Use the result to judge what such measures are worth, not as a forecast. Then run our lost leads audit to see which capture and follow-up mechanisms your website already offers. The calculator runs entirely in your browser; nothing you enter is sent to us.
A worked example
A practice receives 60 enquiries a month and estimates that 15% go unanswered or are answered too late. That is 9 enquiries. If it usually wins 30% of the enquiries it answers and an average client is worth 1,200 euros, the revenue at risk is about 3,240 euros a month, close to 39,000 euros a year. Change any figure and the result updates at once.
